System Overview
Softnology HR Recruiter™ provides the facility to the departments and branches to post their job requirements through a centralized Web and Desktop based system. It offers organizations the ability to manage their entire human resource recruitment function easily and effectively. Your organization will be no longer required to deal with recruitment advertising. All advertising selection and placement will be made by the system. You will still retain full control of your brand and the messages used to advertise your vacancies and your organization.

Softnology HR Recruiter™ makes the key business process of recruitment much easier, and enhances the effectiveness of the HR function.

If you use Softnology HR Recruiter™, your control over your recruitment advertising will increase. Simply by setting limits on how many appropriate candidates you seek per vacancy will automatically set the number of applicants which will be able to apply for your vacancy.

Resumes collected by the HR department will be entered and stored into the HR Bank by classification saving time and efforts of the organization.

The system will also provide the facility to search and match resumes with respect to organization’s job requirements. The search interface will be fully integrated with HR follow-up and hiring modules.

HR Follow-up module provides the ability to mark selected candidates, place its current status, incorporate evaluation marks and enter recommendations. An easy to user interface will be available to the HR department to search and mark candidates and send automated emails for interview initiation. Post interview details and points awarded to the candidate can also be entered into this module for future reference and follow-ups.

Interview Calls / Regretting Letters are generated and based upon the status assigned to candidates undergoing the recruitment process. The system generates interview calls / letters / next stage call letters as well as Regret letters to relevant candidates.

Selecting the option of “send mail” allows there letters to be directly emailed at the candidates email address by the system.

The selected candidates will be forwarded to the Personnel Subsystem through the Hiring module, through which the company can issue Personnel IDs, print Cards, and attach photos etc from a centralized system.

Processes Overview
Setup Details
Setup is divided into following sections.
Department
In our HR system department are created by HR administrator as per HR by the company. Department can easily be tracked by its unique ID and includes all information that is necessary to setup any department.

Designation
This section is associated with the department because designation assigned as according to the department and how much designations are required by any particular department.

Job type
It’s a type of job that is assigned to right person to fulfill task and responsibility or it’s a domain under which an individual perform various tasks like management, marketing, finance etc.

Work type
Work type is a description of work that’s provided to employee to perform under certain limits e.g. An Accountant work under the domain of Finance and performs other tasks to fulfill his work type needs.

Evaluation Question Type
These are the type created by HR manager that helps interviewer to generate relevant questions as according to Evaluation Question Type e.g. HR manager creates one type Software engineering on the other hand the Departmental user select that type and post question as according to Evaluation question type.
Evaluation Question
Questions that are created by Departmental users to conduct an interview and this is to make hiring process much easier for themselves and for HR. This section is the most important entity for an online recruitment system to better evaluate candidate’s abilities and expertise.

Folder (E-directory)
Folder contains information about particular category resource that is available to be hired like; candidates selected by departmental user for future consideration can easily be retrieved through E-directory.

Academic Level
Different academic levels are setup in this section. Starts from primary level education to higher level of education achieved by any candidate.

Skills
Skill in our system represents expertise that a candidate possesses to apply for relevant job. This section is very helpful to HR department to give preference to those who are excellent in their expertise.

Location
Location is necessary to hire personnel as according to where job is available whether it’s a head office or branch office and it could possibly be a franchise.

Searching for Candidates
Active Search
This section helps HR manager and departmental users to search and select best possible candidates. Only, HR manager have a right to call a candidate directly and on other hand the departmental user can only send a requisition to HR administrator against any selected candidate.

Summary
This section represents detail information about candidate’s interview.

Interview Manager
This section is crucial to conduct an interview. The HR manager in this context assigns departmental users to conduct interview sessions with accurate evaluation sheet.

Change Status:
This section is comprises of various statuses. This is helpful to change candidate status and to take proper hiring decision e.g. if a candidate is selected for job and his or her status is hired at the first time then through this window HR manager can possibly change it to hold due to several reasons.

Print Letters
Letter issued to candidates who are called for interview and those who are selected. Also, other letters issued to those who are called but not selected.

Personal Bio-Data Option
Information about a particular candidate as according to skills, academics, personal info
Etc.

Job Requisition Details
Requisition Search
A tool that is helpful to HR manager to find out how many requisitions needs his action or some particular requisition that is not approved yet.

View All Detail
View detail section includes all information about requisitions with their respective tracking numbers and other necessary detail like department name, department code, time and date to which it is posted and other relevant information.

New Requisitions
For preparing a new requisition our system offers a comprehensive and detailed form to post requisition for candidate. This requisition section can easily be tracked through Requisition ID. Once, it is received by HR manager its up to him to take decision on requisition from department.
Approval
The HR manager in this section can view the new requisition that needs approval. There are two check boxes available for him to take decision these are approved and unapproved. Its up-to HR manager to select which one is feasible with respect to time and as according to company budgets.

This section includes all information regarding interviews that are conducted successfully

Outstanding
View detail section includes all information about requisitions with their respective tracking numbers and other necessary detail like department name, department code, time and date to which it is posted and other relevant information.

Pending hiring

eDirectory of CVs
The purpose of this directory in our system is to save the portfolio of those candidates who are selected by either HR or by departmental users for future considerations.
